What and why
Capacity view is a new view in Planner that presents a live staffing matrix built from existing Planner task data. It shows a timeline of who is working on what, so team leads can see how work is distributed across the team and spot overallocation or open capacity at a glance, without exporting data or building a separate report. This keeps resource decisions in the same tool where the work is already tracked.

- Targeted Release: Beginning in early October 2026 and expected to complete by mid-October 2026
- General availability (Worldwide): Beginning in mid-October 2026 and expected to complete by late October 2026

Who is affected
- Users with a Planner Plan 3 license in Worldwide (Standard Multi-Tenant) environments
- Users without a Plan 3 license will not see Capacity view

- Planner in Outlook (web and desktop)
- Capacity view is not included on mobile
What will happen
- Capacity view appears as a new view on existing plans, alongside Board, Grid, and Schedule.
- The view is populated entirely from existing Planner task data. No new data is created.
- Accuracy depends on tasks having assignees and start and finish dates. Tasks missing either will not be represented reliably in the timeline.
- The view is on by default for eligible users and there is no admin control to disable it.

- No admin action is required to enable or prepare for this change. To get value from the view, consider the following:
- Notify Planner users that a new Capacity view will appear on their plans in early October 2026.
- Update internal training material and Planner guidance to include the new view.
- Encourage plan owners and team leads to keep assignees and start and finish dates current so the view reflects actual workload.
